Board Meeting – Wednesday, February 8, 2023, 7:00 p.m.
Present: Avery Steinberg, Carrie Bolton, David Perkins, Gabrielle Dallaporta, Joanne Benoit, Marni Crossley, Robert Logie, Sue Stefko, Scott Templeton, Zita Eriole
1. Call to Order and Approval of Agenda
The meeting commenced at 7:17 p.m. due to a zoom meeting conflict
2. Approval of the Agenda
The agenda was amended to remove Jon’s report as he was unable to attend.
3. Minutes from the November 11th Meeting
The minutes were approved.
4. Business Arising from our last meeting

5. General Update – Sue
Ottawa Hospital
  • The new Ottawa Hospital virtual public information is tomorrow; people need to register online to attend.
Membership Campaign
  • Sue asked how people felt about having our membership campaign virtually again this year, or do we want to consider going back to in person?  A discussion followed.
  • In 2019 (the last in-person year) we had 84 members, then in 2020 and 2021, our numbers dropped to 65 and 50 respectively.  In 2022, we went up to 78. As always, a large proportion of GACA members are from the Lakelander, thanks to the efforts of their board and our representatives in that building.
  • We have fewer members when we conduct virtual campaigns, but if we reach the community through emails, newspaper stories, in-person events, social media etc. we are meeting our goals of community outreach and engagement. Our expenses are minimal, so our memberships cover our activities for the year. However, there is something to be said about a personal connection. Do we need this through the membership campaign?  We also connect in person with the community at our events, which many see as more positive.
    • It is possible to do mailouts with Canada Post, although at a cost of a couple of hundred dollars, the group felt that this was not worthwhile. Membership money is better invested on printing informational/promotional material.
  • It was decided that we continue this year with a virtual campaign and with mailbox drop offs and postering.
  • Comments included:
    • Abbas helps promote our events and we post our membership information there.
    • A GACA hosted event – it would be ideal if a date could be advertised in our mailbox drop offs.  That would require a commitment to select a date before our April meeting.
    • Regarding door-to-door drop offs, if would be great if we could access the condos and apartment buildings, as we would reach more people.  Gabrielle did her building last year and will this year as well.  Joanne will ask someone who lives in the Dow Lake Towers if she is willing to do it, or connect us with the management.
    • Could we have an event for the sole purpose of membership?  It was decided not to pursue, as membership signup and info will be available at all our events anyway.
  • It was also decided that we will have a survey this year; we used to do them door-to-door, but we can include it in our newsletter and have a QR code in our drop offs. We could also have a paper sheet drop off at our spring clean-up.
  • It is a good opportunity to include the survey with the membership campaign.
    • By next meeting Sue will have the survey questions.
    • Survey links can also be put on Facebook, Instagram, and Twitter
Councillor’s Office 
In Jonathan’s absence, please reach out to him on any issues and concerns you may have
6. AGM
  • As to holding it virtually or in person – it was agreed that doing both concurrently does not work well.
  • We  were going to have our last one before the Pandemic at the Kings’ Daughters.
  • In person meetings often had higher attendance, but we had community issues of large concern in those years, which also increased our numbers. A decision was made to hold our AGM virtually.
  • Our normal meeting date of May 10th should work – if the Councillor is available.
  • Suggested Topics/Guests
    • Ottawa Hospital
    • Community Police Officer Constable Megan Arbuthnot
    • New official plan, particularly after changes made by the province
    • Katasa – 774 Bronson
  • The decision was that the Ottawa Hospital would be the best topic/guest.  The new hospital is what will impact us the most.
    • Sue will reach out to the hospital and Councillor Menard on their availability for May 10th
    •  If anyone comes with any other suggestions, please reach out to Sue
