Glebe Annex Community Association (GACA)
Board Meeting – Wednesday, June 12, 2024, 7 p.m.
Present:
Laurent Carbonneau, Joanne Benoit, Carrie Bolton, Gabrielle Dallaporta, David Perkins, Ryan Hampel, Shelby Hildebrand, Sue Stefko
1. Call to Order and Approval of Agenda – Laurent
Laurent called the meeting to order at 7:05 p.m. The agenda for the meeting was approved without objection.
2. Approval of the Minutes from April 10th – Laurent
No amendments or corrections to the minutes were raised. The minutes were approved as presented.
3. GACA board member confirmation and elections for 2024-25 (All)
Laurent opened the floor for discussion on board membership.
- President nomination: Ryan nominated and confirmed as president. Ryan thanked the members and expressed his intent to rely on their expertise.
- Vice President nomination: Sue confirmed to continue as vice president.
- Treasurer nomination: Scott confirmed to continue as treasurer.
- Secretary position: David stepping down, offered transition assistance to incoming secretary. No immediate volunteers; co-secretary arrangement proposed between Joanne and Gabrielle.
- At-large board members: Gabrielle, Joanne, Shelby, and Marni confirmed to continue.
4. Event planning (Gabrielle)
Gabrielle provided updates on the upcoming events, including the Party in the Park and Yoga in the Park, and discussed the related financial motions and additional points for consideration.
Party in the Park
- Update on grant application: $1,500 granted.
- Planned activities: Barbecue and crepes, decorations and posters, potential DJ (awaiting confirmation), magic show (awaiting board approval)
- Discussion of additional expenses possibly covered by fundraising and sponsorship.
Yoga in the Park
- Proposed dates: July 6th with a rain date of July 7th, or July 13th with a rain date of July 14th.
- Instructor from last year confirmed to return.
- Request for $100 funding for the yoga instructor.
Financial motions
- Motion for $100 to fund the yoga instructor.
- Potential advance of $250 if needed for Party in the Park, to be reimbursed once grant funds are received.
Additional points
- Discussion of potentially having a donation option at events.
- Membership sign-up opportunities should be included at events.
- Discussion about the need for updated posters and possible reprints for event promotions.
5. Councillor’s update – Jonathan
Jonathan was unable to attend the meeting. Further updates are deferred to the next meeting in the fall.
