Glebe Annex Community Association (GACA)
Board Meeting – Wednesday, April 9, 2025, 7 p.m.

Present: Carrie Bolton, Carrie Kierstead, Gabrielle Dellaporta, Marni Crossley, Ryan Hampel, Joanne Benoit, Sue Stefko, Jonathan McLeod (Office of Councillor Menard)

1. Call to Order and Approval of Agenda

The meeting was called to order at 7:03 p.m. A motion to approve the agenda was made by Sue seconded by Marni and carried.

2. Approval of the March 12, 2025, Minutes

A motion to approve the minutes was made by Carrie C seconded by Carrie K. and carried.  

3. President’s Update (Ryan)

Anchor Letter 

Anchor Letter as written and supported by GACA has been formerly submitted. 

Community Partner Insurance Program

Heard back from the broker and ready to submit, should be approved as we do not have any high-risk activities.

299 Carling Park Consultation

Ryan expressed his thanks for comments on the Parquette.  The GACA comments were submitted and a letter from the GCA supporting our submission was as well. Sue will reach out in couple of weeks to see if there are any updates.   It is not yet clear when the handover from the Canada Lands Corporation to the city will take place.

2025-26 GACA Events

Party in June, yoga, Halloween party. Cleaning of the Capital, Membership:

  • A June date for our annual community BBQ has been confirmed for June 21, rain date June 22. 
  • The GACA Halloween event has been very well attended the last two years and will go ahead this year again. 
  • Yoga in the park – Gabrielle asked for GACA funding of  $100.00.  This would cover the fee for an instructor – for August this year.   Motion to approve the funds to cover the fee of $100.00 was made by Carrie, seconded by Joanne, and carried 
  • Park poster for Clean the Capital Cleanup in the Glebe Annex – decided to poster in a few key areas only.  Event takes place  May 3 and rain date of May 4.

Membership

  • Door to door drop off, can be included when the Glebe Reports are delivered. 
  • It was suggested we include upcoming events and more information on what we do  
  • It was also suggested that we do the higher quality GACA info cards for events.  Sue will send a copy of the previous used one out to the board 
  • Promotional material can be put in the party budget.  We hope to get a  grant and any funds required by GACA will be requested if needed.

5. Annual General Meeting (Ryan/Sue)

  • Vote for board is not done at the AGM, but at the June GACA board meeting If you wish to stay on the board, please reach out to Ryan.
  • Meeting will be an hour and a quarter, unless we decide we need more time.  Option to go longer if required.  
  • The following items will be on the AGM Agenda:
    • Presidents’ report – will give an update
    • Scott will provide the Treasurer’s Report 
    • Councillor Menard will present updates in our ward. He will speak for 5 minutes and answer questions for 10 minutes.
    • Potential speaker – Canada Lands Corporation – is available, they generally like to give a presentation so we will need to ensure that they can share a screen.

6. Councillor’s Update (Jonathan)

  • Maintenance update, street sweeping started last week street but will start again given the recent snow.  There will be overnight parking warnings.
  • The painting of street lines will start over again, have to use more environmental friendly paint – it does not last as long. 
  •  Budget consultations will commence in the spring this year.  The public consultation in the fall do not really give enough time.  They will start with consultations the end of May online.   It is good that the feedback from the public will come earlier than in the past.  Councillor’s office is very happy with that.  In person meetings will be announced in the coming weeks. 
  • 299 Park Consultation – The comments from GACA and the GCA were received and the City staff received it as well.  It is in the process, but they have not heard anything else either.   
  • A question was raised about the possibility of some changing flex stick locations due to causing parking and other hazards.  Any suggestions on placement can be sent to Jonathan.   A new person – who is not an traffic engineer but is a coordinator on the program, is very good in this role.   Jonahtan will pass on the information directly.   The challenge the city has is the conflicting feedback and they are always trying to balance those that think they are a need and those that don’t.   
  • Bronson consultation – far from any consultation process commencing yet.
  • Pothole concerns were raised.  Jonahtan confirmed that repair crews have been out.  City works proactively to fill them. You can reach out to councillor’s office and directly call 311 to report specific pothole issues.
